What an AI receptionist actually does
A receptionist's phone job is narrow but relentless: say hello, work out what the caller wants, answer the same twenty questions, and put a name into a slot. An AI receptionist takes that phone job off the front desk. It picks up your business number, holds a normal spoken conversation and finishes the task instead of taking a message.
The difference from a voicemail box or a press-1 menu is that the caller never has to adapt to the machine. They speak the way they would to a person, interrupt, change their mind about the time, and switch from Telugu to English mid-sentence. The agent follows them.
- —Greets callers by your business name and asks how it can help
- —Answers questions on timings, fees, address, parking, doctors or stylists on duty, and what to bring
- —Books, moves or cancels appointments in a real calendar while the caller is on the line
- —Sends a WhatsApp confirmation with the date, time and location right after the call
- —Takes a structured message when a request needs a person — name, number, reason, urgency
- —Logs every call with recording, transcript, summary and sentiment
How it works on Outpero
- 01Take a dedicated phone number (₹649/month, compliance and carrier fees included) and publish it, or check with your telecom provider about forwarding your existing line to it.
- 02Write the receptionist's instructions in plain language: your hours, services, prices, staff, location, and the questions it must never answer, such as a diagnosis or a discount it cannot approve.
- 03Connect a calendar so it books real slots, and optionally a spreadsheet or your own API for live lookups.
- 04Choose the language and a voice tier — Standard or Premium.
- 05Go live. Inbound calls are answered 24/7, and every call lands in the dashboard and on your webhook with the fields you asked it to capture.
AI receptionist vs human receptionist vs outsourced virtual receptionist
| AI receptionist (Outpero) | Human receptionist | Outsourced virtual receptionist | |
|---|---|---|---|
| Hours | 24/7, including Sundays and festivals | One shift, plus leave and lunch | Depends on the plan bought |
| Calls at once | One call per channel; add channels as needed | One call at a time | Shared pool of agents |
| Books into your calendar | Yes, live on the call | Yes | Often only takes a message |
| Languages | 7 Indian languages plus code-switching with English | Whatever the hire speaks | Usually English and Hindi |
| Cost basis | Per connected minute, from ₹5/min | Monthly salary, roughly ₹15,000–₹25,000 for a telecaller-level role | Monthly plan or per call |
| In-person work | None | Handles walk-ins, files and payments | None |
| Judgement calls | Follows instructions, flags exceptions | Strong | Moderate |
The honest reading of that table: an AI receptionist replaces the phone half of the front desk, not the person. Most small Indian businesses keep their receptionist for walk-ins and billing and let the AI take the calls that interrupt them.
Where Indian businesses use an AI front desk
Clinics and hospitals
A busy OPD front desk is answering the phone, registering walk-ins and collecting payments at once, so calls ring out during the morning rush. An AI front desk for clinics tells callers which doctor sits on which day, books the slot, reminds them to carry earlier reports and sends the confirmation on WhatsApp. Patients who found the clinic on Practo or Google still call to confirm, and those calls get answered.
Dental clinics, diagnostic labs and IVF centres
Dental chains field calls about root-canal costs and aligner consultations; labs get asked about fasting before a lipid profile and home sample collection slots; fertility clinics get sensitive first enquiries that callers prefer to make after office hours. Each is a short, repeatable conversation.

Salons, spas, gyms and coaching institutes
Salons lose bookings because the stylist is mid-haircut when the phone rings. Gyms get trial-session enquiries at 9 pm. Coaching institutes in Kota, Hyderabad's Ameerpet or Delhi's Mukherjee Nagar get batch-timing and fee questions in waves around results. The agent answers, books and logs.
Languages your callers actually speak
Outpero's receptionist speaks Hindi, Telugu, Tamil, Marathi, Kannada, Malayalam and Indian English. In each one it switches to English the moment the caller does, in the same voice — the way most urban callers speak anyway. A typical Hindi greeting:
नमस्ते, clinic में call करने के लिए धन्यवाद। आपको appointment book करना है या doctor की timing जाननी है?
What an AI receptionist costs
There is no setup fee, no monthly base fee and no contract. You pay only for connected talk time from prepaid credits (1 credit = ₹1, credits never expire, 50 free credits at signup), plus ₹649/month for a dedicated number.
Worked example: a clinic that receives 25 calls a day averaging 1.5 minutes uses about 1,125 minutes a month. On the Standard voice at ₹5/min that is ₹5,625, plus ₹649 for the number — around ₹6,300 a month for every call answered, day and night. On quiet days you pay less, because idle time costs nothing.
Compliance and patient data
Tell callers the call is recorded, and keep the greeting clear that they are speaking to an automated assistant. Under the Digital Personal Data Protection Act, 2023 you remain responsible for the personal data your receptionist collects, so capture only the fields you need and restrict who can open recordings. Clinics should instruct the agent never to give medical advice, and to point callers with emergencies to a hospital or an emergency number instead of booking a slot.
How to evaluate an AI receptionist vendor
- —Call the demo yourself in the language your patients or customers use, and interrupt it. Listen for the pause before it replies — Outpero's end-to-end latency is 0.8 to 1.3 seconds on average.
- —Ask whether it books into a real calendar or only emails you a request.
- —Ask what happens when it does not know an answer, and read a transcript of that exact case.
- —Check how pricing works when calls are short: per connected minute, per call or per seat.
- —Confirm you can export recordings, transcripts and leads as CSV, and receive them on a webhook.
- —Ask about uptime commitments; Outpero offers a 99.9% uptime SLA.
Limits to know before you switch
Outpero can transfer a call to your team when a person should take it. Otherwise, when a caller needs a human, the agent captures the request and flags it in the summary and webhook so your team calls back. If your front desk routinely connects callers straight to a doctor or manager, plan for that callback step.
It also cannot hold a conversation in Bengali, Gujarati, Punjabi, Odia or other languages outside the seven above, and it does nothing about walk-ins. If most of your callers need negotiation or emotional judgement, keep a person on the phone and use the AI only for after-hours and overflow.
