Voice Broadcast for Announcements to Your Whole List

Voice broadcast announcements play one fixed recorded message to every number on your list, and the call ends when the message finishes; it is not an AI conversation. With Outpero you either upload an audio file or type the text and have it read in one of Outpero's voices in Hindi, Telugu, Tamil, Marathi, Kannada, Malayalam or English, then send it to an uploaded list, billed at a lower rate than AI conversation minutes.

Why voice broadcast announcements breaks when people do it

SMS gets lost among OTPs and WhatsApp needs an approved template and a smartphone, so announcements that matter — a new branch, revised timings, a change in society maintenance rules — often reach only part of the list. Ringing everyone by hand takes a telecaller days, and every caller says it slightly differently. Many people in smaller towns, and older customers everywhere, take notice of a voice in their own language far more readily than of a text.

Step by step

How it works

  • 01Write the announcement and keep it to about 30 seconds: who is calling, the news, and what the listener should do next.
  • 02Upload a recorded audio file, or paste the text and choose an Outpero voice and language to synthesise it.
  • 03Upload the contact list as a CSV and remove numbers that should not receive the call, such as anyone who has asked not to be contacted.
  • 04Start the broadcast at a sensible hour, for example between 10 am and 7 pm on a weekday.
  • 05Each number is dialled, the message plays once the call is answered, and the call ends when it finishes.
  • 06Review delivery in the dashboard — answered, not answered, busy or failed, and how long each answered call stayed connected — and plan a second round for those not reached.

Illustrative call

A voice broadcast, not an AI conversation: one fixed recording about a new supermarket branch is played to everyone on a list, and each call ends when it finishes. · Runs in Telugu, recorded message; shown here in English.

  2. Caller
[Call 1: listens to the whole message; the call ends by itself]
  3. Outpero AI

  4. Caller
[Call 2: hears all of it and puts the phone down]
  5. Outpero AI
[Call 3: Mr. Imran picks up and says hello; the recording starts] Namaste, this is Shree Ganesh Super Market. Our new branch opens in Kukatpally from the 15th, from 8 in the morning.
  6. Caller
[Call 3: speaks over it] Sorry, will there be home delivery? Hello, can you hear me? Is anyone there?
  7. Outpero AI
[The recording cannot respond and plays on unchanged] ...to 10 at night. Thank you.
  8. Caller
[Call 4: rings out and is not answered; logged as not answered and not billed]
What the agent did

A broadcast captures only status and duration, no conversation: calls 1 and 2 answered and heard to the end, call 3 answered but the listener asked a question that the recording cannot answer, call 4 not answered. Dashboard shows each call's status and connected time; unanswered numbers go to a second round.

An example written to show the shape of the call, not a recording or a customer result.

How the trigger reaches Outpero

Where it comes fromHow it gets to the agent
CSV contact listUpload your customer or member list as a CSV with name and number columns, after removing anyone who asked not to be called.
Recorded audio fileUpload a clear 30-second recording in the language your listeners actually speak, ready to play to every answered call.
Text-to-speech messageAlternatively, paste the announcement text and pick an Outpero voice and language, and it is played to everyone.
CRM or Google Sheet exportExport a segment, such as one branch's customers, from your CRM or sheet so each list gets a relevant announcement.
Status exportDownload answered, not answered, busy and failed statuses with durations to plan a second round for numbers not reached.

Results go back out the same way: a webhook you provide, or a live spreadsheet or API call mid-call. WhatsApp messages and calendar bookings are opt-in per employee.

For scale: 325 talk-hours a month is about 5 telecallers if each manages productive talk-hours a day (an assumption — edit it). A telecaller typically costs around ₹18,000 a month before overheads.

Run it well

What to track — and what goes wrong

TrackHow to read it
Answered versus not answeredUse the split to decide on a second round; a poor answer rate at one hour suggests trying another time of day.
Listen duration compared with message lengthIf many answered calls end well before the message does, the opening needs to say who is calling and why more quickly.
Failed and busy callsA high failed count points to bad numbers in the list; clean the list before the next broadcast.
Footfall or action after the broadcastTrack visits, sign-ups or calls to your store in the days after, since the broadcast itself records no replies.
Common mistakes
  • !Expecting replies; a broadcast plays one fixed message and cannot answer questions, so add a number or WhatsApp contact in the message.
  • !Making the message too long; keep it near thirty seconds with who is calling, the news and the next step.
  • !Calling at night or early morning instead of a sensible daytime window.
  • !Including people who opted out or never gave their number to you for announcements.
Not the right tool when

If you need to hear the customer's reply, such as confirming attendance or handling objections, use an AI conversation campaign instead. A broadcast is also not for sensitive personal information.

Questions people ask

Is a voice broadcast the same as an AI calling campaign?

+

No. A broadcast plays one fixed message and hangs up; nobody is listening to the reply. An AI bulk campaign is a real conversation with each contact: the agent answers questions, asks yours, and records the outcome as structured fields. Broadcast is cheaper and suits news that needs no answer; an AI campaign is for when you need confirmations, answers or bookings.

Can listeners reply or ask questions during a broadcast?

+

Treat a broadcast as one-way. The message plays and the call ends, so it is not the tool for collecting replies. If listeners are likely to have questions, say in the message which number to call back, and let Outpero's AI employee answer that number 24/7 with the announcement details loaded into its knowledge base.

Should I upload a recording or use synthesised text?

+

A recording in a familiar voice — the store owner, the principal, the society secretary — carries weight and suits announcements people already expect. Synthesised text is faster when the message changes often or must go out in several languages, because you only edit the text and pick an Outpero voice. Either way, play it back once and check names, dates and addresses before sending.

What rules apply to announcement calls in India?

+

Under TRAI's Telecom Commercial Communications Customer Preference Regulations, a service announcement to your existing customers is treated differently from promotional content, which must respect DND preferences. Keep announcements free of offers if you want them to stay service messages, identify your business at the start, and call at reasonable hours. Outpero calls from a DLT-registered line.

How much does a voice broadcast cost?

+

Broadcast calls are billed at a lower rate than AI conversation minutes, from the same prepaid credits, with no setup fee, no monthly base fee and no contract. Check the current broadcast rate in the app before planning a large send. Shorter messages cost less, so trimming a 60-second script to 30 seconds roughly halves the talk time per answered call.

How much does an AI voice agent for voice broadcast announcements cost?

+

Outpero has no setup fee and no monthly base fee — you pay only for connected talk time, from ₹5 per minute (1 credit = ₹1, credits never expire), plus ₹649/month for a dedicated calling number. You pay only for the minutes the agent is actually talking. Prices exclude 18% GST.

Enterprise and custom: volume plans go as low as ₹3.5/min, quoted on your needs.
