Broadcast Payment Reminders: Recorded Due-Date Calls

Broadcast payment reminders are recorded voice calls that play one fixed message, such as a reminder that the EMI or monthly fee falls due on the 5th, to every customer on a list and then hang up; there is no AI conversation. Outpero plays an audio file you upload or text read in its own voices at a lower rate than AI calls, which suits soft pre-due reminders, while overdue accounts that need a promise-to-pay belong in an AI EMI collection or payment reminder campaign.

Why broadcast payment reminders breaks when people do it

Lenders, schools, housing societies and broadband providers send thousands of near-identical 'your payment is due' reminders every month. SMS reminders sink among OTPs and promotions, and having telecallers ring every customer before the due date wastes skilled time on people who were always going to pay. A pre-due reminder is also not a collection call: RBI's guidelines on recovery agents and its Fair Practices Code limit when and how lenders may contact borrowers, and a pressuring tone with someone who has not missed a date damages the relationship.

Step by step

How it works

  • 01Segment the list by what the message will say — everyone with an EMI due on the 5th, or every parent whose term fee is due this month — because a broadcast plays the same message to everyone on the list.
  • 02Record the reminder or synthesise it from text in Hindi, Telugu, Tamil, Marathi, Kannada, Malayalam or English, stating who is calling, what is due, the date and how to pay.
  • 03Upload each segment as a CSV and send the broadcast three to five days before the due date, during daytime hours.
  • 04Each answered call plays the message once and ends; the dashboard shows answered, not answered, busy and failed status with connected duration.
  • 05After the due date, move customers who still have not paid out of broadcast and into an AI bulk campaign, where the agent can hear the reason, take a promise-to-pay date and send a payment link on WhatsApp.

Illustrative call

A voice broadcast, not an AI conversation: a fixed EMI reminder recording is played to a list of borrowers whose EMI is due on the 5th, and each call ends when the message finishes. · Runs in Hindi, recorded message; shown here in English.

  1. Outpero AI
[Call 1: Mr. Gupta picks up; this is a fixed recording, not an AI conversation] Namaste, this is a reminder from Sunrise Finance. This month's EMI is due on the 5th. Please keep sufficient balance in your bank account, or pay by UPI through the app. Thank you.
  2. Caller
[Call 1: listens to the end; the call ends by itself]
  3. Outpero AI
[Call 2: Mrs. Sharma picks up; the same recording plays from the start] Namaste, this is a reminder from Sunrise Finance. This month's EMI is due on the 5th. Please keep sufficient balance in your account.
  4. Caller
[Call 2: speaks over it] I already paid it yesterday, why are you calling again? Hello? Anyone there?
  5. Outpero AI
[The recording cannot respond and plays on unchanged] ...or pay by UPI through the app. Thank you.
  6. Caller
[Call 3: Mr. Yadav picks up, hears the first few seconds, then hangs up]
  7. Outpero AI
[Call 4: no pickup; rings out and ends] The call is not answered and the recording does not play.
  8. Caller
[After the 5th: Mr. Yadav is moved to an AI bulk campaign for a promise-to-pay conversation]
What the agent did

A broadcast captures only status and duration: call 1 heard in full, call 2 answered and heard in full but the listener said she had paid, call 3 hung up early (short connected time), call 4 not answered. Mrs. Sharma's complaint shows why paid accounts should be removed from the segment, and unpaid ones move to an AI campaign after the due date.

Loan or fee system exportExport each segment, such as everyone with an EMI due on the 5th, from your system as a CSV before the broadcast.
Paid-status checkBefore uploading, remove customers who have already paid, so the reminder goes only to people who still owe the amount.
Recorded or text-to-speech messageUpload an audio file or paste the text and choose a voice in the customer's language, stating who is calling, what is due and when.
Dashboard status exportPull answered, not answered, busy and failed lists with durations after the broadcast to see who heard the reminder.
Handoff to bulk AI campaignAfter the due date, send customers who still have not paid as a CSV into an AI campaign that can take a promise-to-pay date.

Results go back out the same way: a webhook you provide, or a live spreadsheet or API call mid-call. WhatsApp messages and calendar bookings are opt-in per employee.

Run it well

What to track — and what goes wrong

TrackHow to read it
Reminder reach by segmentCompare answered rates across segments or languages; a segment with poor reach may need a different time of day or a corrected list.
Listen duration against message lengthCustomers who hang up in the first seconds suggest the opening does not say who is calling and why quickly enough.
Payments received before and after the due dateCompare on-time payments for reminded and unreminded groups in your own system; the broadcast itself records no payment.
Accounts moved to AI follow-upThe size of this group tells you how many reminders were not enough and how much conversation capacity you need after the due date.
Common mistakes
  • !Playing a reminder to customers who have already paid, which annoys them and wastes credits.
  • !Using one message for people with different due dates or amounts; segment so the recording is true for everyone on the list.
  • !Sending reminders at night or on a day when customers are least likely to pick up.
  • !Treating the broadcast as collection; it is a reminder, and anyone still unpaid needs a proper conversation.
Not the right tool when

It is not for customers who are already overdue and need to explain their situation or negotiate a date, since a recording cannot listen. Use an AI conversation campaign for those, and keep collections within RBI and your own policies.

Questions people ask

How is a broadcast reminder different from an AI EMI collection call?

+

A broadcast plays one recorded message and ends, so it informs but cannot listen. Outpero's EMI collection use case is a real AI conversation: the agent confirms the borrower, hears why a payment is late, records a promise-to-pay date and sends a payment link on WhatsApp. Use broadcast before the due date for everyone, and AI calls after it for the smaller group that has not paid.

Can the message include each customer's amount due?

+

No. A broadcast plays the same fixed message to everyone on the list, so it cannot read out individual amounts or account numbers. The practical answer is to segment: one list and one message per due date or fee plan. If each customer needs to hear their own figure, run an AI bulk campaign instead, where the agent reads the amount from your CSV.

What do RBI rules say about payment reminder calls?

+

RBI's directions on recovery agents and its Fair Practices Code for lenders require courteous contact, calls to the borrower only, no threatening or abusive language, and contact within reasonable hours, which RBI has described as 8 am to 7 pm for recovery calls. A pre-due broadcast should stay polite and factual, identify the lender, and avoid any language that could read as a threat. Check your own compliance team's guidance.

Is a payment reminder broadcast promotional or a service message?

+

A reminder about an existing account is a service communication under TRAI's commercial communication rules. Once you add an offer, such as a top-up loan or a festive discount, it becomes promotional and must respect DND preferences. Keep reminders strictly about the due payment, and send offers separately to customers who have agreed to receive them.

How much do broadcast payment reminders cost?

+

Broadcast calls are billed at a lower rate than AI conversation minutes, from the same prepaid credits that never expire, with no setup fee or monthly base fee. A 20-second reminder uses very little talk time per answered call. The AI follow-up campaign for overdue accounts is billed at the normal ₹5 or ₹6.8 per minute voice tiers.

How much does an AI voice agent for broadcast payment reminders cost?

+

Outpero has no setup fee and no monthly base fee — you pay only for connected talk time, from ₹5 per minute (1 credit = ₹1, credits never expire), plus ₹649/month for a dedicated calling number. You pay only for the minutes the agent is actually talking. Prices exclude 18% GST.

Enterprise and custom: volume plans go as low as ₹3.5/min, quoted on your needs.
