How quickly should my team follow up after an AI call?
As soon as you can, ideally the same day and within the hour for a hot lead or a requested callback. The AI's speed is wasted if the qualified lead then waits for a person. Agree a response time, assign every lead an owner, and give the follower the transcript and summary so the customer is not asked the same questions again.
Speed is a relay, not a sprint
An AI employee can call a lead within 30 seconds of the enquiry. The customer then expects the next step to be just as prompt. If a qualified lead waits two days for a person, the early call helped the competitor who rang on day two but did so with more care.
A 2011 Harvard Business Review lead-response study found that firms that responded within an hour were far more likely to qualify a lead than firms that waited longer. The lesson applies to the second call as much as the first.
A simple follow-up policy
| Lead status after the AI call | Suggested follow-up |
|---|---|
| Asked to speak to a person | Same hour; call back at the time the customer named |
| Qualified and interested | Within the same day |
| Qualified but not ready | Scheduled follow-up on the date they gave |
| Not interested or wrong number | No follow-up; update the record |
| Unreachable | Let the retry rules run before a person tries |
Make it easy for the team
- —Send the call summary and the custom fields to your CRM or sheet through the webhook, so no one retypes anything
- —Name an owner for every qualified lead, with a rule for who takes it when they are out
- —Have the follower read the transcript before calling
- —Track the time between the AI call and the human follow-up as a number
When the customer asked for a person
A caller who said they wanted to talk to someone has already told you what they want. The agent can transfer the call to your team where enabled. Otherwise it flags the request, and that flag should be treated as the most urgent item in your queue.
Outpero's call log shows when each call ended and what the customer said, so the delay between the AI call and the human call can be measured, and shortened.
