How do I decide which calls to give an AI employee first?
Pick calls that are frequent, repetitive, time-sensitive and low-risk, such as first calls to new leads, reminders and confirmations. Avoid calls that are rare, emotional or high-stakes. Score your candidate calls on volume, speed sensitivity, how scripted they are and what a mistake would cost, and start with the highest score.
Start with your own call list
Write down every type of call your business makes or takes in a week: new-lead calls, follow-ups, reminders, order confirmations, complaints, renewals, enquiries. Then score each one on four questions.
| Question | A good first call |
|---|---|
| How often does it happen? | Many times a day or week |
| How much does speed matter? | A lot; the value drops if called late |
| How scripted is it? | The same few questions every time |
| What does a mistake cost? | Small and easy to correct |
Calls that usually score well
- —First calls to new leads from Meta, Google Ads and website forms
- —Appointment and payment reminders
- —Cash-on-delivery order confirmations
- —After-hours inbound enquiries, such as hours, location and booking
- —Feedback calls after a purchase or a visit
Calls that usually score badly
- —Complaints and disputes
- —Negotiation on price or terms
- —Rare, complex enquiries with no standard answer
- —Calls with legal or medical consequences, or ones with a vulnerable customer
Then narrow it down
From the top scorers, pick one that you can measure. If a lead call has a clear result, such as an appointment booked, you will know in a few weeks if it worked. Pick one language and one lead source so you can see what changed.
Resist the temptation to start with the call you dislike most. The worst calls are often the hardest for AI too. Win on an easy, high-volume call first, learn what the transcripts reveal, and then widen the job.
Outpero lets you build a separate AI employee for each job, with its own language, voice and script, so one task never needs to be stretched to cover another.
Revisit the list every quarter. As the agent proves itself on one job, a call that scored badly at the start, such as a more complex enquiry, may become worth trying with a careful script and a clear route to a person.
