Can an AI voice agent look up or update a spreadsheet during a call?
Yes. Outpero's live spreadsheet action, switched on per AI employee, lets the agent read a row during the conversation, such as an order status or seats left in a batch, and write back what changed, such as a confirmed address or a new delivery date. It suits small teams whose working data already lives in a spreadsheet rather than a database.
Reading versus logging
This is different from sending call results to a sheet afterwards. Post-call results go to your webhook and dashboard. The live action is for data the agent needs in the middle of the call, or for changes that should land in your working sheet the moment the caller says them.
Useful patterns
| Business | Reads | Writes |
|---|---|---|
| D2C brand doing COD confirmation | Order value and items | Confirmed, cancelled or address change |
| Coaching institute | Batch timings and seats left | Seat interest and preferred batch |
| Distributor or wholesaler | Stock and price list | Order quantity requested |
| Clinic | Slot sheet for the day | Patient name against the slot |
| Collections team | Due amount and due date | Promise-to-pay date |
Setting it up
- 01Give the sheet a clean structure: one header row, one record per row, and a unique key such as phone number or order ID.
- 02Enable the spreadsheet action on the AI employee and connect the sheet.
- 03Tell the agent in the brief which column to look up by, which columns it may read, and which it may write.
- 04Limit writes to specific columns, such as status and notes. Never let it overwrite amounts or prices.
- 05Test with a copy of the sheet before pointing it at live data.
When a spreadsheet stops being enough
Spreadsheets work well up to a point. When several people and the agent edit the same rows all day, or the sheet holds tens of thousands of orders, conflicts and slow lookups creep in. At that stage, move the data into a proper system and use the custom API action so the agent reads and writes through that system instead.
Privacy
The agent should read only what it needs to say. A collections call needs the amount and due date, not the customer's full account history. Keep sensitive columns in a separate sheet the agent cannot reach, in line with the DPDP Act 2023 principle of using personal data only for the stated purpose.
Review the sheet's edit history after the first day live. It shows exactly what the agent changed and when, which is the quickest way to confirm the brief's write rules are being followed.
