Instant calling or a bulk campaign
AI Calls for Feedback Surveys
An AI voice agent for feedback surveys calls customers after a purchase, visit or service, asks a few open questions in their language and records both the score and the reason in their own words. Outpero runs surveys as bulk campaigns or triggers them from a 'job completed' event, then returns structured answers, a summary and sentiment for every call.
* Time from the lead reaching Outpero to the first ring, under normal conditions. It depends on how quickly your lead source delivers the lead.

Why feedback surveys breaks when people do it
Indian customers rarely fill feedback forms or tap survey links, and when they do, they tick a rating without saying why. Human survey calls are cheap per call but tedious, so callers rush, nudge the customer towards a good answer, or log 'satisfied' for anyone who hangs up politely. Customers who would rather speak Telugu or Marathi get surveyed in English or not at all, and the real complaints never reach management.
Step by step
How it works
- 01Choose the trigger — a daily list of completed orders, visits or service jobs uploaded as a CSV, or a webhook when a job is marked complete.
- 02Write three to five questions, mixing a rating with open questions such as what went wrong or what would bring them back.
- 03The agent calls at a convenient hour, asks the questions conversationally and follows up when an answer is too short to be useful.
- 04Complaints are flagged straight away, with a WhatsApp acknowledgement sent if you choose.
- 05Ratings, verbatim reasons, summary and sentiment go to the dashboard and your webhook, ready for CSV export and analysis.

A sample feedback surveys call
A next-day feedback call after an AC service visit in Chennai. · Runs in Tamil with English words; shown here in English.
- Outpero AIHello, am I speaking with Lakshmi? I'm an AI assistant from CoolCare Services calling about the AC service done at your home yesterday. Do you have a minute?
- CallerYes, please tell me.
- Outpero AIHow was the technician's work? On a scale of 1 to 5, how many marks would you give?
- CallerHonestly, 2. He came two hours late and nobody informed me.
- Outpero AII'm sorry about that. Besides the delay, was the cooling and the service itself fine?
- CallerThe service was fine. But he left water on the floor and did not clean it.
- Outpero AIThank you for telling me. I'll record the late arrival and the unwiped floor as a complaint and ask our team to call you. Would you use our service again?
- CallerMaybe, if they fix this.
- Outpero AII've noted that, and I'm sending you a WhatsApp message to confirm your complaint has been logged. Thank you, Lakshmi ma.
Rating 2 out of 5, reasons: technician two hours late with no notice, floor left wet; service itself fine. Complaint flagged for the service manager, likelihood of returning marked maybe, WhatsApp acknowledgement sent, sentiment negative.

How the trigger reaches Outpero
| Where it comes from | How it gets to the agent |
|---|---|
| Service-complete status in your job app | When a technician marks a job complete, a webhook, or a Zapier or Make step, sends the customer's number and job details to Outpero. |
| Daily completed jobs CSV | Export yesterday's finished jobs each morning and upload them as a campaign scheduled for a sensible calling hour. |
| Webhook for complaint alerts | Calls flagged as complaints are posted to your webhook, which can notify the service manager by email or chat. |
| CSV export of answers | Download ratings and verbatim reasons as a CSV from the dashboard for monthly review by branch or technician. |
Results go back out the same way: a webhook you provide, or a live spreadsheet or API call mid-call. WhatsApp messages and calendar bookings are opt-in per employee.

How it opens the call
नमस्ते, कल आपके घर AC service हुई थी — बस एक minute, technician का काम कैसा लगा, 1 से 5 में कितने number देंगे?
“Hello, your AC was serviced at home yesterday — just a minute: how was the technician's work, and how many marks out of 1 to 5 would you give?”
The same call runs in Hindi, Telugu, Tamil, Marathi, Kannada, Malayalam and English.

Run it well
What to track — and what goes wrong
| Track | How to read it |
|---|---|
| Response rate to the survey call | If few people stay on the line, your questions are too many or the call comes at the wrong hour. |
| Rating by technician or branch | Patterns across several weeks matter; a single low score from one call should not decide anything. |
| Complaints flagged and closed | Check how many flagged complaints were actually resolved, since the call is only useful if someone acts. |
| Top reasons in customers' own words | Group the verbatim reasons by theme monthly; recurring ones tell you what to fix first. |
- !Calling days after the service when the customer no longer remembers the visit.
- !Asking too many questions, which turns a feedback call into an interrogation.
- !Collecting complaints but having no person assigned to respond to them.
- !Reading only the average score and ignoring the reasons given.
For deeply emotional or high-stakes feedback, such as after a serious medical event, a human conversation is the right approach. It is also unnecessary if you already get a response from almost every customer by an in-app form.
Questions people ask
How many questions should a phone feedback survey have?
+
Three to five. Beyond that, completion drops sharply on a phone call. Put the most important question first — usually the rating — then ask why, then one improvement question. The agent can skip questions that do not apply, for example not asking about delivery if the customer collected the order in store.
Are customers honest with an AI on a survey call?
+
Many find it easier to complain to an agent that will not take it personally, and the agent does not steer them towards a positive answer the way a rushed caller sometimes does. Every response is recorded and transcribed, so a manager can hear the exact words rather than relying on someone's paraphrase in a spreadsheet.
What happens when a customer is angry?
+
The agent acknowledges the complaint, lets them finish, captures the details and tells them the team will follow up. It does not argue or offer compensation unless you have authorised it. The call is flagged with negative sentiment in the webhook, so a manager can call back the same day, which often turns a bad review into a recovered customer.
When should feedback calls happen?
+
Within 24 to 48 hours of the experience, while it is fresh, and within normal hours — roughly 10 am to 8 pm. For restaurants and cloud kitchens, the same evening or next morning; for home services, the day after the job; for hospitals, after discharge rather than during treatment.
Can results be broken down by branch or staff member?
+
Yes. Include the branch, technician or doctor as columns in the uploaded list or webhook payload, and they travel with each result. In the CSV export you can then compare ratings and complaint reasons across branches and people, which is usually where the most useful findings sit.
How much does an AI voice agent for feedback surveys cost?
+
Outpero has no setup fee and no monthly base fee — you pay only for connected talk time, from ₹5 per minute (1 credit = ₹1, credits never expire), plus ₹649/month for a dedicated calling number. You pay only for the minutes the agent is actually talking. Prices exclude 18% GST.
