How do I get notified when the AI finds a hot lead?
Point Outpero's post-call webhook at Zapier, Make or your CRM, and add a rule that sends an alert when the outcome or a custom field marks the lead as hot. The alert can reach the salesperson by email, Slack, WhatsApp or a CRM task, with the summary and recording link, so they can call back within minutes.
Why alerts and not a live hand-over
Besides transferring a call to your team when a person should take it, Outpero can flag the lead, so a dependable pattern is a fast alert and a human callback. Done well, this works: the lead has just had a useful conversation, expects a specialist to follow up, and the salesperson calls already knowing the budget, need and timeline.
Define 'hot' precisely
Agree the rule before building anything, and put it in the agent's brief so it scores calls consistently.
- —Real estate: budget above a threshold, timeline within three months, site visit booked.
- —Loans: salaried, income above the eligibility line, documents ready.
- —B2B: decision-maker on the call, use case matches, wants a demo this week.
- —Education: course confirmed, wants to visit the campus or pay the registration fee.
Building the alert
- 01Add a custom field such as lead_temperature with fixed values hot, warm and cold.
- 02Set the webhook to completed calls only.
- 03In Zapier or Make, add a filter: continue only when lead_temperature is hot.
- 04Send the alert: an email or Slack message, a WhatsApp message from your business account, or a CRM task assigned to the owner.
- 05Include name, phone, the summary, key fields and the recording link in the message.
- 06Test with a call where you play a hot lead.
Make the callback fast
An alert only helps if someone acts on it. Route alerts to the person on duty, not a shared inbox, and set a target such as calling back within 15 minutes during working hours. Out of hours, let the agent book a slot with the calendar action so the lead has a definite time.
The same alert works for inbound calls the AI employee picks up on your business number, which is often where the warmest leads come from.
Measure it
Track time from alert to human callback, and how many hot leads converted. If callbacks lag, the bottleneck is the team's routine, not the AI.
