How do I split work between AI and human telecallers?
Split work by stage and stakes: the AI takes first contact, incoming enquiries, qualification, reminders, confirmations and redials; humans take qualified leads, negotiations, complaints and high-value accounts. Define the handover point in writing, meaning which answers make a lead qualified, and send each one to a named person with the AI's summary so nobody calls the customer cold a second time.
A working split
| Stage | Who handles it | Why |
|---|---|---|
| New enquiry, first call | AI agent | Speed: within 30 seconds |
| Incoming calls to your number | AI agent, 24/7 | No missed calls; routine questions answered |
| Qualification questions | AI agent | Structured; same questions every time |
| Unanswered redials | AI agent | Tedious for people; retries can be scheduled |
| Appointment, visit or demo booking | AI agent, into your calendar | Rules-based; the slot is real |
| Qualified lead follow-up | Human | Needs judgement and persuasion |
| Price negotiation and closing | Human | Needs authority and trust |
| Complaints | Human, after the AI logs details | Needs empathy and the power to fix things |
Define the handover
The most common failure is a vague handover. Write down the exact conditions, for example budget confirmed, location matches, wants a call within 48 hours. Configure the agent to capture those as custom fields, and send them by webhook into your CRM, whether Zoho, LeadSquared, HubSpot or a Google Sheet, assigned to a person.
The agent can transfer a call to your team when a person should take it, and it can also capture the request and flag it for a callback. When a person calls back, they should open by referring to what the customer already said: 'You mentioned a Saturday site visit in Gachibowli, I'm calling to confirm the time.' Making a customer repeat themselves wastes the work the AI did.
Review the split monthly
The right split moves. If your closers are idle, give the AI older reactivation lists to work. If they are drowning, tighten the qualification criteria so fewer, better leads reach them. For one-way announcements, such as a new branch opening, a voice broadcast can reach the list without using anyone's time.
Whatever the split, every qualified lead should have exactly one named owner and a deadline. Leads that belong to the whole team end up belonging to nobody, and the speed the AI bought is lost within a day.

Follow-up questions
How many human telecallers do I need alongside an AI agent?
+
Work backwards from qualified leads, not total leads. If the agent qualifies 40 leads a day and a closer can handle 25 meaningful follow-up conversations, you need two people for that stream. Add capacity for complaints and key accounts. The number is usually smaller than a dialling team, but it is never zero.
